The Executive Assistant to the Chief of Education and Partner Success plays a crucial role in ensuring the efficiency and smooth operation of Parsec Education’s Partner Success Team structure. This position is responsible for managing administrative tasks, tracking project deliverables, and maintaining up-to-date data. By supporting the Chief and team, the Executive Assistant enables the team to function seamlessly, stay aligned with strategic goals, and deliver high-quality results. This role requires strong organizational skills, attention to detail, and a proactive mindset to flag potential issues before they impact operations.
Key Responsibilities:
Project Tracking and Deliverable Management:
- Monitor all PST-related deliverables, ensuring projects are on track and completed according to deadlines.
- Proactively identify and communicate potential risks, bottlenecks, or delays that may affect project timelines.
- Coordinate with PST team members, including Learning Integration Specialists (LIS) and Education Analysts (EAs), to confirm progress on deliverables and maintain alignment with PST goals.
Data Management and Analysis Support:
- Maintain and update PST databases to ensure data accuracy and accessibility for all team members.
- Support the Chief by gathering, organizing, and reviewing relevant data needed for partner insights, utilization rates, and key performance metrics.
- Assist in compiling data reports and dashboards to provide the Chief with clear, actionable insights for strategic decision-making.
Operational and Administrative Support:
- Act as the primary administrative point of contact within the PST, coordinating logistics for meetings, workshops, and other PST activities.
- Prepare and distribute agendas, notes, and action items for PST meetings to keep all team members informed and accountable.
- Track action items and follow up with team members to ensure timely completion.
Process Improvement and Efficiency Initiatives:
- Identify opportunities to streamline administrative processes, making recommendations for efficiency improvements.
- Develop and implement systems to track recurring tasks, such as partner check-ins and data updates, ensuring consistency and organization.
- Foster a culture of proactive problem-solving by initiating small process improvements that benefit the PST’s productivity and workflow.
Communication and Coordination:
- Maintain clear communication with all PST members, ensuring that updates, issues, and changes are promptly shared.
- Act as a liaison between the Chief and other PST team members to relay key information and prioritize tasks based on the PST’s strategic objectives.
Strategic Project Support
- Gathering all relevant research and information necessary for strategic planning and implementation
- Assisting with development of implementation plans and roll out
Experience and Qualifications:
- Attain or work toward a certification in project management.
- Proven experience in project coordination, administrative support, or a similar role, ideally within the education or technology sectors.
- Strong organizational and time-management skills, with the ability to handle multiple priorities and deadlines.
- Proficiency in data management and familiarity with project tracking and collaboration tools.
- Excellent communication and interpersonal skills to effectively support a diverse team.
- Detail-oriented mindset with a proactive approach to problem-solving.
